Job Summary The Division Communications Specialist provides communications support and project management for several activities, including internal and external communications, alumni engagement, website content management, events management, and social media integration. In support of Division education and fundraising, collaborates on the development of promotional, informational, educational, and outreach materials in both print and electronic media. Maintains a strong understanding and awareness of products and services provided by various public relations and public events operations on campus. Collaborates on the development of and executes an internal and externally focused social media campaign to engage the public and broaden the reach of the Division. Designs, organizes, and implements the presentation of web content through a wide variety of technologies using software for graphics, animation, text, multimedia, dynamic and/or interactive content presentation, and database applications. Enables advanced web design through research and ongoing review of existing and new software and hardware technologies. Ensures practices and procedures that advance the Division’s internet image, research activities and communications strategy. Job Duties – Participates in the development of an external communication plan intended to engage prospective students and researchers, donors, and alumni. – Executes strategy for alumni engagement. Elements include website content development, social media engagement, development of paper and electronic publications, creation and maintenance of alumni list. – Participates in the development of plan for internal communications. Responsible for the execution of the internal communication plan. Elements include re-establishment of Division publications for internal and external outreach, updating content of electronic signage, and communication strategy for Division events and awards. – Coordinates the update and maintenance of Division website. Develops web page designs using established design concepts; advises management on web design approach for displaying content; uses standard and/or non-standard techniques and technologies to post content to internal and external websites; incorporates multi-media (i.e. HTML5, on-line videos, slide shows, etc.) to improve website engagement and align with customer goals. Collects, analyzes, and presents data concerning website traffic. Ensures that website is in compliance with relevant policies by running scans and site reviews. – In collaboration with Division leadership, develops and executes strategy for the integration of social media into multiple aspects of Division. Maintains current knowledge of social media and technology development relevant to areas of responsibility. – Collaborates with Office of Strategic Communications to track key news events, including write-ups on faculty, naming and description of faculty and student awards; recording of alumni updates; gathering of appropriate material and photos, as well as special interest items as they develop. – Collaborates with Institute marketing and graphic arts staff in developing and implementing internal and external marketing materials and tools; creates complex materials using sophisticated desktop publishing software and high quality printers; contributes to design and layout ideas and assists in writing, editing, and publishing various printed materials and website content. – Supports Division leadership through the development of detailed graphs, narratives, documentation, and other visual presentation materials. – Participates in and/or leads promotional and outreach efforts to enhance and increase program awareness, information delivery, corporate support, and community support. – Coordinates ongoing and special events including lectures, departmental seminars, corporate partnership programming, and donor visits; develops program budgets, action plans, and monitors completion dates and deadlines. – Determines which work is referred to outside vendors; negotiates costs and turnaround time, etc. – May be designated as “lead” worker, and provide leadership and/or guidance to support personnel and/or outside contractors (e.g. orients, trains, assigns, and checks work, counsels and advises). – May serve on various committees and/or project teams. – Implements effective programs supporting technology-enhanced communication, including multiple social media channels. – Collaborates with other offices on campus to coordinate and delivery programs and services. – Other duties as assigned. Basic Qualifications – Bachelor’s degree with specialization in communications or related field. – At least 1 year of related experience. – Relevant project management experience. – Understanding of social media, including Facebook, Twitter, Pinterest, YouTube, LinkedIn, and Instagram. – Excellent organizational skills. – Ability to demonstrate initiative in independently solving problems with high energy, a positive attitude, curiosity, and a commitment to continual improvement. – Ability to work independently with flexibility, efficiency, enthusiasm, and diplomacy both individually and as a member of multiple teams. – Ability to independently prioritize and execute multiple tasks. – Ability to effectively communicate and work with faculty, staff, and students. Preferred Experience – Experience in higher education, working with faculty, students, and staff. – Understanding of social media use in science and engineering. – Understanding of Caltech’s policy on Acceptable Use of Electronic Information Resources.
